Terms and Conditions

The following are the terms and conditions established for all Kilimanjaro climbs, safaris, and other trips provided by Summit Expeditions and Nomadic Experience, Inc. (SENE).

Inclusions and Exclusions:
Prices quoted are valid to December 31, 2009 and include:

Accommodations as indicated in each itinerary, based on either twin-bedded rooms or double bed rooms (or tents where applicable); meals as indicated in each itinerary, and domestic bottled water; arrival and departure transfers and all other land transport except when personal changes outside of the group itinerary are made; entrance fees to national parks/game reserves and other applicable fees.

For Kilimanjaro and other mountain climbs/hikes: Services of licensed professional English speaking guides, skilled cooks, and sufficient crew for carrying client luggage, food, and water.

For safaris: Services of professional English speaking driver/guide and a skilled cook (for camping safari); and a 4x4 vehicle, equipped for game viewing and touring (pop-up roof for viewing and protection from the sun).

Not included in quoted trip prices: Costs of passports and visas; excess baggage charges; travel insurance; airfares and airport departure taxes; sightseeing, game drives or meals not listed in the itinerary; personal expenses such as beverages (other than those included with meals and bottled water as noted in trip inclusions), laundry, communication charges, medical or extra evacuation fees, and gratuities.

Reservations and Payments:
A deposit of $500 per person is required at the time of booking.
A first payment of 50% of the remaining balance is payable 120 days prior to trip departure.

Final payment of the remaining balance is due 90 days prior to trip departure.

If your reservation is made within 90 days of departure, the entire price of the trip must be paid at the time of confirmation. If your reservation is initiated within 30 days of trip departure, a non-refundable rush booking fee of $75 per person per booking will be charged.

Accepted methods of payments include cash, U.S. check, wire transfer, or credit card (additional costs apply).

Cancellations:
For all trip cancellations received more than 90 days prior to departure there is a $200 per person cancellation fee per climb, safari, or other trip. For cancellations 30-89 days prior the fee is 20% of the total trip price; 15-29 days prior, 50% of total trip price; 14 days prior or less, 100% of total trip price.

Trip Cancellation Insurance:
We highly recommend trip cancellation insurance for all expeditions. Due to the nature of the government fees and operators permits, SENE must adhere to a strict refund policy.

SENE will take every care with client’s baggage and property, but is not liable for loss, damage or delayed delivery.

Where SENE acts as an agent for the transport, accommodation and services of the companies supplying a trip, SENE may not be held liable for non-performance of any such supplier. If the participant is not able or willing to assume the above-mentioned risks, he/she should purchase trip insurance.

Participation:
Persons not fit for a rigorous trip due to heart disease, chronic illness, physical handicap, advanced pregnancy, or mental illness are advised not to participate in an expedition.

Alterations to Trips:
SENE reserves the right to alter or modify the itinerary of any trip if air schedule or surface transportation charges, security matters and/or events beyond its control make such alterations necessary.

Baggage:
Baggage and personal effects are at owners risk throughout the expedition.

Departures Dates and Prices:
Tours are scheduled to operate through December 31, 2009. Prices shown herein are based on tariffs, exchange rates and airfares in effect in May, 2008. SENE reserves the right to alter prices quoted should inflation, costs of fuel, labor or materials, air fares or foreign exchange rates change. Should the Tanzania National Parks (TANAPA) raise park fees after this agreement is made, SENE has the right to ask for additional payment; if any hotels, lodges, or other service providers raise their rates, SENE also reserves the right to request additional payment.

Claims and Refunds:
Except for verifiable extenuating circumstances, refunds are not made for any missed trip services. There will not be any refund to a client who cancels a trip that is in progress. Please see our cancellation statement above. For verifiable claims to be considered, they must be received in writing within 45 days of the termination of the trip and be accompanied by supporting documents verifying the claim.

SENE Responsibilities:
SENE acts only as an agent providing expedition services and/or related travel services and assumes no responsibility whatsoever for injury, personal illness, loss or damage to person or property in connection with any service resulting directly from: act of God; detention; annoyance; delays; expenses arising from quarantine; strikes; thefts; pilferage; force majeure; failure of any means of conveyance to arrive or depart as scheduled; civil disturbances; terrorism; government restrictions or regulations; and discrepancies or changes in hotel services over which it has no control. Furthermore, each of the companies providing services to SENE clients is an independent corporation with its own management and is not subject to the control of SENE.

Summit Expeditions and Nomadic Experience and/or its local operators reserve the right to cancel any itinerary or any part of it, or to make such alterations to the itinerary when deemed advisable for the comfort and safety of clients.

Signed Agreement:
SENE draws your attention to the fact that there are certain inherent dangers involved with adventure travel expeditions, and the client accepts them at his/her own risk.

On advancement of deposit to SENE and by signature below, the client agrees to be bound by the above recited terms and conditions.

SENE will also require a pre-expedition voluntary release (waiver) form to be read and signed before the expedition starts.
